Privacy Notice – Explore Heart of Yorkshire

This Privacy Notice is designed to help you understand how and why Explore Heart of Yorkshire at North Yorkshire Council processes your personal data. This notice should be read in conjunction with the Council’s Corporate Privacy Notice.

Who are we?

North Yorkshire Council is a ‘Data Controller’ as defined by Article 4(7) of the General Data Protection Regulation (GDPR).

Service: Visitor and Culture Economy.

Heart of Yorkshire is the identity of North Yorkshire Council’s visitor and cultural economy-focused activity in the Selby region. We obtain information about you when you use our website, for example, when you contact us about products and services. We will also collect information from you when you use any of our products and services or receive customer support communications from us.

What Personal Data of mine do you collect?

The information we collect about you could include:
• Name
• Postal Address
• Telephone Number
• E-mail address
• Business details, if applicable
• IP Address
• Social Media
• Information about what website pages are accessed and when

We collect information about you in the following ways:
• Google Analytics
• Information requests via telephone and/or email
• Online competitions
• Business Details that are publicly available

What is the purpose of collecting my Personal Data?

We may use your information for the following reasons:
• If you contact us with a query or for more information via a ‘Contact us’ form
• • If you order brochures and/or leaflets
• For attractions & event ticket bookings
• For competition entry

To periodically send you communications, which you have requested, and that may be of interest to you. These may include information about goods and services provided by visitor economy businesses in the region. These could include campaigns activities, special offers, ideas for days out, news and events in the local area.

While we may occasionally send individual emails on behalf of carefully selected partners, we will never share your details with any third party, unless you explicitly give us permission to do so via opting in, as mentioned above.

Information requests – when requesting information from us online, you are agreeing to receive requested information by post, and where an email address is also supplied, relevant follow up information from Explore Heart of Yorkshire, which can be unsubscribed from at any time. For brochures/information requested over the telephone, you are agreeing to receive relevant materials and added to our database for direct and email marketing purposes.

Any information we use in presentations or reports will be anonymised and will not identify any individuals. For example, a report on the numbers of webpage visits will not feature any of your personal data.

How will my details be used for marketing?

Marketing e-mails that you receive depending on your options may be from Explore Heart of Yorkshire’ which is our visitor and culture-facing brand name or the Visitor and Culture Economy team with news for visitor and culture economy businesses. Every email you receive will carry an unsubscribe link, allowing you to opt out of any future communications.

Competitions – If you enter one of our competitions you will see two boxes where you have the option to receive e-mails from us or from the prize provider.

Your data (name and e-mail address only) will be shared with the company who has provided the prize, only if you tick the box to give consent for us to do so.

The first e-mail you receive from the prize provider will carry an unsubscribe link.

Your details will not be shared with any other department within the Council, nor will they be shared externally except in the case of a completion prize.

If you do not consent to being contacted, we will store your details for a time appropriate for the competition period and then remove them from our system. You will not be contacted within this period, unless you have successfully won a competition.

Who do you share this data with?

We do not disclose or share sensitive or confidential information without your consent except where disclosure is required by law, or where we have good reason to believe that failing to do so, would put you or someone else at risk.

Your details will not be shared with any other department within the Council, nor will they be shared externally except in the case of a completion prize.

External to the council, should you enter a competition and win, your data (name and e-mail address only) will be shared with the company who has provided the prize, only if you tick the box to give consent for us to do so.

How long do you keep this data for?

Email and marketing database records will be deleted after 24 months of last use, e.g. an email being sent.

If you enter a competition and do not consent to being contacted, we will store your details for a time appropriate for the period of the competition and then remove them from our system. You will not be contacted within this period, unless you have successfully won a competition.

Business records storage and publishing. We store accommodation, venue and other business details (Trade Data) in our database to facilitate publishing them on this visitor economy and culture website. Business details are, by their nature, already in the public domain and we are using them in a way the businesses would reasonably expect and could benefit from.

What is your legal basis for processing this data?

We process your personal information in accordance with our public task and legal obligations including:

6.1 (a) – Consent: you have given your consent. For example, you have signed up to receive marketing information from us.
6.1 (b) Contract: you have entered into a contract with us. For example, attraction and event bookings.
